Working with PDFs: How to Merge, Split and Compress Files Without the Headaches

PDFs are the standard for sharing documents that must look the same everywhere, but editing them is famously awkward. Most everyday jobs, though, boil down to four operations: joining files, pulling pages out, making them smaller and converting other formats. Here is how to do each one well.

Merging PDFs

Merging is ideal for combining scans, receipts, application forms or chapters into one document.

  1. Put your files in the right order before you start. Name them 01, 02, 03 so they sort correctly.
  2. Use the Merge PDF tool, add the files and arrange them.
  3. Download the result and page through it to confirm nothing is missing.

Tip: if one of your files is password protected, unlock it first with the Unlock PDF tool. You need to know the password.

Splitting PDFs

Splitting extracts the pages you need from a longer document, for example one invoice from a monthly statement.

  • Use ranges such as 1-3, 7 in the Split PDF tool to pull out pages 1 to 3 and page 7.
  • Page numbers refer to the position in the file, not the number printed on the page.
  • To remove unwanted pages instead, use Delete PDF Pages; to change the order, use Rearrange PDF Pages.

Compressing PDFs

Email limits and upload forms often cap files at 5 to 25 MB. Compression reduces the size, mostly by shrinking the images inside.

  • Start with a medium setting in the Compress PDF tool and check the result. Only go stronger if you must.
  • Scanned documents are large because each page is an image. They compress well, but very strong settings can make small print hard to read.
  • Text-only PDFs are already small and will not shrink much.
  • Always keep the original file.

Converting images to PDF

Photos of documents are often easier to share as one tidy PDF. With JPG to PDF you can choose a page size (A4 or US Letter), margins and whether all images go into a single PDF. Rotate sideways photos first, and use good lighting and a flat surface when you photograph pages. For PNG files there is PNG to PDF.

Rotating and fixing orientation

Scanned pages are sometimes upside down or sideways. The Rotate PDF tool lets you turn all pages or only selected ones by 90, 180 or 270 degrees.

Privacy: what happens to your files?

Documents often contain personal or financial information, so it matters where they are processed. The PDF tools on Impressive SEO Tools run in your browser using JavaScript libraries, which means the file is handled on your own device rather than sent to a server. Whatever service you use, follow these habits:

  • Check the tool's privacy policy for how files are handled.
  • Avoid uploading highly sensitive documents to unknown websites.
  • Remove hidden metadata such as author names if you share a file publicly.
  • Delete temporary copies you no longer need.

Quality checklist before you send a PDF

  1. Open it and scroll through every page.
  2. Check that text is readable and images are sharp.
  3. Confirm the page order and orientation.
  4. Check the file size against any upload limit.
  5. Use a clear file name, such as invoice-2026-09.pdf.

When a PDF tool is not enough

Editing the text of a complex layout is best done in the original document (Word, Google Docs, InDesign) and re-exporting. Tools that extract text or convert to Word can work well on simple files, but complicated tables and fonts may need manual clean-up afterwards.
